Privacy Policy
Last updated: 04/11/2026
1. General provisions
This Privacy Policy describes how tviy.ai (the "Service") collects, uses, stores, and protects users' personal and other data. The Service is designed to automate a business's communication with customers by means of a voice AI assistant: taking calls, booking appointments, managing the schedule, and synchronising the calendar.
2. What data we collect
To provide the Service's functionality, we may process the following categories of data:
- Business information: the name of the establishment, its address, contact phone numbers, email, opening hours, list of services, prices, appointment duration, information about specialists/employees, their specialities, and schedules.
- Users' contact details: first name, last name, phone number, and email of the owner or administrator of the clinic.
- Appointment data: the customer's name, phone number, email, date, time, specialist, service, reason for the visit, and appointment status.
- Conversations and transcripts: audio recordings and text transcriptions of conversations between the AI assistant and customers or the business owner.
- Uploaded files: images, documents, photos of appointment journals, and other materials that the user adds in the cabinet.
- Voice interactions: voice commands and messages given while working with the assistant.
- Google Calendar data: events, time slots, calendar names, and other information the user grants access to when connecting Google Calendar.
- Technical information: IP address, browser type, and cookie data needed for authentication, security, and stable operation of the Service.
3. How we use the data
All data is processed solely in order to provide and maintain the functionality of tviy.ai:
- setting up and personalising the AI assistant for a particular business;
- taking calls and replying to customers' messages;
- creating, rescheduling, and cancelling appointments;
- synchronising the schedule with the connected Google Calendar;
- displaying information in the business owner's personal cabinet;
- supporting the operation of the Service, troubleshooting faults, and improving reliability.
We do not sell users' personal data to third parties and do not use it to build advertising profiles outside the Service.
4. Google Calendar data and the Google API
If the user connects their Google Calendar, the Service is given access to calendar information solely in order to:
- check which time slots are available;
- create, update, and delete events related to appointments;
- synchronise the schedule between the tviy.ai cabinet and Google Calendar.
Google Calendar data is used only to provide the calendar functionality that the user asks for. We do not pass this data to third parties, do not sell it, and do not use it for any other purpose.
5. Storage and protection of data
Data is kept in protected cloud storage using modern encryption technology both in transit and at rest. Only authorised parts of the Service have access to the information. We regularly update our security infrastructure and follow data protection best practice.
6. Retention period and deletion of data
Data is kept for as long as is needed to provide the Service, or until the user's account is deactivated. Temporary data created during a trial is deleted automatically when the temporary session expires, if the user does not complete the registration. The user may contact the support service to have their data deleted at any time.
7. Third-party service providers
To operate the Service, we use trusted providers of cloud infrastructure, voice technologies, and email. All of them process data only on our behalf and in accordance with our privacy and security obligations. We do not pass data to advertising networks or other third-party organisations.
8. Users' rights
The user has the right to:
- get access to their data;
- correct inaccurate information;
- delete their account and the data associated with it;
- revoke access to Google Calendar in the settings of their Google account;
- contact us with questions about the processing of data.
9. Amendments to the Privacy Policy
We may update this Privacy Policy from time to time. In the event of material changes, we will post a notice on the website or send the information to the user's email. Continuing to use the Service after such changes means accepting the updated Policy.
